Installation and System Requirements

Keep File Courier in the Applications folder

File Courier runs on Mac OS X 10.4.2 - 10.6

Data and Settings Location

File Courier writes its settings into the following folder:

~/Library/Application Support/Zevrix/File Courier

You can share E-mail Templates and Destinations by copying the appropriate files between users.

b Note: File Courier's destination files (.dest) are plain XML property list (.plist) files. They can be imported to and created by all popular database and spreadsheet programs.

QUICK START

File Courier is very easy to use and understand and its interface is intuitive and self-explanatory. Here's how to use File Courier in brief:

Create desired destinations for FTP and local delivery in the Destinations window.

Set up at least one e-mail template (the From field and SMTP server must be set)

You can send files/folders in two ways:

    Drag-and-drop on the File Courier icon

   Click the Choose button in the Processing window

If the file name doesn't include a destination code: Select desired destination in the Dispatcher window and click the Send button.

Files with destination codes will be sent automatically.

Files will be added to queue if required.

 

File Courier offers two delivery methods: with or without a destination code.

Destinations codes are optional. They allow for automatic delivery to the desired destination, so that you don't need to select destination in the File Courier window. Which method to chose depends on your workflow and delivery volume. Destination codes work best when you handle large delivery volumes and maintain a structured, well organized workflow.

Working with destination codes

    in File Courier, assign a code to the destination (the codes can only contain letters and numbers)

    Append the code to your file/folder name in the following way:

     file_name.CODE.ext

     folder_name.CODE

Drop it on File Courier (or select with Choose button) and the item will be sent to the desired destination automatically according to the assigned code.

E-MAIL TEMPLATES

E-mail templates is the first thing to set up if you wish File Courier to send notifications upon each delivery.

You must set up at least one template in order to send e-mails. File Courier includes the [Default Template] you can already use. This template cannot be deleted.

Outgoing Mail Infospacer

In order to send e-mails, you need to set up parameters for outgoing mail:

    From: This field must contain any properly formatted e-mail address (user@host.com). This address doesn't have to be related to your SMTP server. It actually doesn't have to exist at all.

    SMTP Server: Please enter your valid SMTP server (outgoing mail server) info. You can copy it from your e-mail program such as Mail, Entourage etc.

! Note: File Courier doesn't use SMTP server info from your e-mail programs or any other sources. It must be entered in the File Courier e-mail template.

Once you set up the SMTP info, you won't have to reenter it in every new template. When you create a new template using the plus button, the current template will be duplicated, including all the SMTP info.

To, Cc, Bcc Recipientsspacer

Add recipients if required, but you can leave this table blank as well. This is your "global" list of recipients. It's useful if you want to Cc all your delivery e-mail to yourself, or to a list of production coordinators, or to a general mailbox etc.

These fields must contain properly formatted e-mail addresses only.

Variable Tokens for Subject and Bodyspacer

Use the Insert Token pop-up menu to insert variables into your Subject and Body fields (click inside the desired field first):

    File Name: The name or file/folder being sent. If the item is compressed, the final zip/dmg name will be inserted.

    Destination: Destination name.

    FTP Host: FTP host address.

Note: It's a good idea to create separate templates for FTP and local destination to avoid irrelevant info in your e-mails.

    FTP User: FTP account user name.

    FTP Password: FTP account password (will be sent in plain text).

    Folder (FTP/Local): The enclosing FTP directory or local folder at the destination. This may be left blank for some FTP destinations.

    Item URL Link: A link to access the item in its final destination.This link will be clickable in the majority of e-mail programs. If the link points to an FTP location, the file will be automatically downloaded by the default FTP software. A loca file will be open in its default application.

    Enclosing Folder URL Link: A link to a folder containing the item in its final destination. This link will be clickable in the majority of e-mail programs. If the link points to an FTP directory, a web browser or an FTP client will display the directory contents. A local folder will be open in the Finder.

Note: The actual behavior of the URL links depends on the recipient's system and software preferences with regards to handling the ftp: and file: protocols.

    Timestamp: Date and time of delivery.

    User Name: The current computer user name.

    Computer Name: The current computer name.

 

DESTINATIONS

Use the buttons above to create, duplicate and delete destinations.

Destinations names and codes can be edited directly in the table by double-clicking the entries.

You can create destinations for FTP and local delivery.

Note: File Courier always uses passive mode for FTP transfer.

Destination Codes
Destination codes are optional. They allow for automatic delivery without the need to choose the destination in the File Courier window. Destination codes work best when you have a large number of destinations and deliveries, and maintain a structured, well organized workflow. Destination codes are also important for tracking and archiving purposes because the file's delivery destination becomes a part of its name. orth

Working with destination codes

    Assign a code to the destination (the codes can only contain letters and numbers)

    Append the code to your file/folder name in the following way:

     file_name.CODE.ext

     folder_name.CODE

Drop it on File Courier (or select with Choose button) and the item will be sent to the desired destination automatically according to the assigned code.

Compression

Choose between Zip and disk image (.dmg) compression. File Courier allows to protect disk images with a password.

Note: Folders will be always compressed when transferred to an FTP destination.

Notification E-mails

File Courier can send a notification e-mail upon each delivery.

To send the e-mails, you must set up at least one e-mail template.

Select the desired template in the pop-up menu.

Note: The outgoing mail info must be properly set up in the template.

Add the To, Cc and Bcc recipients for the current destination. In addition to these recipients, the e-mail will be also sent to the "global" recipients specified in the selected template.

Advanced

If you send a single PDF file:

File Courier can automatically create a low resolution version of the PDF file and attach it to e-mail. All images will be downsampled to 72 pixel/inch and compressed with a Medium JPEG compression, and all elements will be converted to RGB. It will ensure the smallest possible PDF file size for faster e-mail transfer.

The "_lo-res" string will be appended to the file name:

    original_name_lo-res.pdf

Note: This option will be ignored if you choose to attach the original file to e-mail message in the File Delivery Options.

If you send a folder:s

File Courier can automatically attach files from a subfolder to the e-mail notification.

Specify the desired subfolder name. All files from the subfolder will be attached to the notification e-mail.

Note: Files from any subfolders inside of this subfolder will not be attached.

File Delivery Options

    Send to FTP/Local Disk: Check if you wish to upload the file/folder to FTP site or copy to a local volume. Alternatively, you can choose to send the file by e-mail only (see below).

    Send e-mail notifications: Check if you wish to send the notification (make sure that the proper outgoing mail info is set in e-mail templates).

    Attach to e-mail: Check if you wish to attach the file to notification e-mail.

Note: If you send an uncompressed folder to a local disk, this option will be ignored.

    Limit attachments to: Enter the maximum attachment size. This will also apply to the attachments specified in the Advanced tab.
